Writing East Midlands is seeking an Event Co-ordinator to help deliver The Writers’ Conference, taking place 25th March in Loughborough. The Event Co-ordinator will be responsible for liaising with the conference venue, agents, speakers, keynote guests, delegates and effectively publicising the event.
Role
- From an initial programme set by the WEM team, you will support the team to contract speakers and finalise a confirmed programme to include keynote and guest speakers, agent one-to-ones and a literature book fair.
- Support liaison with conference venue ensuring the smooth running of all conference activities.
- Support conference coordination including monitoring ticket bookings, gathering and distribution of logistical information and delegate packs and lists so that delegates experience the full benefits of the conference.
- The coordination of speaker contracts as agreed with WEM and conference speakers.
- Work with the WEM Marketing Manager to drive ticket sales through co-ordinating marketing and press relations with the project creative team and all available networks.
- Support the WEM team to upload information to websites and promote the event through social media.
- Coordinate a team of volunteers to assist with the smooth running of the event.
- To an agreed framework, build sponsorship packs and send out to relevant parties and seek sponsorship and funding arrangements for The Writers Conference 2017.
Person Specification
- Demonstrable relevant practical experience of event management
- Experience of partnership working
- Knowledge of literature and the regional literature community
- Excellent IT skills in applications such as Word and Outlook, competent in Excel/ spreadsheets, mail merging databases and comfortable using the internet as a resource
- Previous marketing experience and the ability to creatively use social media for the purposes of marketing
- Excellent organisational, communication, administrative skills and time management with the ability to work to timelines
- Ability to work as part of a team
- Able to work flexibly across period of employment
- Able to effectively operate from own base, as well as WEM office in Nottingham
- Experience of data collection
- Excellent attention to detail
- Positive ‘can do’ attitude and a sense of humour and perspective
